Privacy Policy

This Privacy Policy explains how the Midlands State University (MSU) International & Alumni Relations Office (the “IARO”, “we”, “us”, or “our”) collects, uses, discloses, and protects your personal information when you use the MSU Alumni Platform (the “Platform”). By registering or using the Platform, you acknowledge that you have read and understood this Policy.

1. Data Controller

2. Legal Framework

We process personal data in accordance with applicable Zimbabwean law, including the Cyber and Data Protection Act and the Cyber and Data Protection (Licensing of Data Controllers and Appointment of Data Protection Officers) Regulations, 2024 (SI 2024-155).

3. Personal Data We Collect

  • Identity data: salutation, first/last names, maiden name (optional), gender, date of birth, national ID/passport number.
  • Contact data: email address, mobile phone number, city, country.
  • Academic data: programme studied, graduation year, degree level, registration number, other MSU programmes.
  • Employment data: employment status, organisation name, designation, industry (where applicable).
  • Engagement data: areas of interest, event registrations, newsletter preferences, donations.
  • Media: profile photo and uploaded files (e.g., newsletter attachments).
  • Technical/log data: IP address, user agent, timestamps; internal audit logs of record changes.

4. How We Use Your Data

  • To register and manage alumni records; maintain accurate alumni databases.
  • To communicate alumni news, events, programmes, and opportunities.
  • To organise and administer events and alumni engagement activities.
  • To generate anonymised reports and insights on alumni distribution and interests.
  • To process donations and acknowledgements.
  • To comply with legal obligations and protect the integrity and security of the Platform.

5. Lawful Bases for Processing

  • Consent – for optional communications and certain profile details (you may withdraw at any time).
  • Legitimate interests – for alumni engagement, platform administration, internal reporting and security.
  • Legal obligation – where required by law, regulation or court order.
  • Contract – where processing is necessary to deliver requested services or event participation.

6. Data Sharing

We do not sell your personal data. We may share information with:

  • Internal MSU units for alumni-related functions and support.
  • Service providers (e.g., hosting, email delivery) under confidentiality and data protection agreements.
  • Regulators or law enforcement when legally required.

7. Cross‑Border Transfers

Where services or hosting are provided outside Zimbabwe, we implement appropriate safeguards to protect your information in line with applicable law.

8. Data Security

We apply administrative, technical, and organisational measures to protect personal data (including access controls, encrypted transport, and audit logging). No system is entirely risk‑free; we continuously improve our safeguards.

9. Data Retention

We keep personal data only as long as necessary for alumni engagement, statutory requirements, and legitimate purposes. When no longer required, data is securely deleted or anonymised.

10. Your Rights

  • Access, correction, and updating of your personal information.
  • Objection to or restriction of certain processing, and withdrawal of consent where applicable.
  • Deletion of your information, subject to legal/record‑keeping obligations.
  • Lodging a complaint with the competent authority under Zimbabwean law.

11. Children’s Data

The Platform is intended for adults and alumni aged 18+. We do not knowingly collect data from children.
